Job Description
Clayton is a distinguished organization renowned for its innovative approach to creating dynamic work environments and fostering exceptional learning opportunities through comprehensive event management and organizational development initiatives. As a well-established company, Clayton prioritizes inclusivity, detailed planning, and flawless execution in all its events to ensure a positive, professional, and engaging atmosphere for its diverse community of participants and stakeholders. The company operates within a vibrant, supportive workplace that champions both personal and professional development by offering cutting-edge benefits, competitive compensation, and wellness programs designed to enhance overall employee satisfaction and growth.
The Conference & Event Planner role at Clayton is pivotal, tasked with overseeing the end-to-end planning and execution of events that support the organization’s learning and development goals. This full-time position requires an individual who is not only proactive and detail-oriented but also adaptable, able to navigate the complexities of dynamic event settings, and committed to delivering experiences that resonate deeply with participants and stakeholders alike. In this role, the planner serves as the central liaison between internal teams and external partners, ensuring smooth communication and coordination across all event-related activities.
Among the primary responsibilities, the planner orchestrates logistics covering scheduling, vendor negotiations, transportation, accommodations, catering, audiovisual arrangements, and active participant engagement. Beyond logistical management, the role also involves developing creative event themes and innovative experiences aligned with organizational objectives, requiring strong collaboration and a hospitality mindset characterized by warmth, approachability, and enthusiasm.
This position demands exceptional organizational skills to manage multiple aspects simultaneously, a solution-driven approach to overcome challenges, and a dedication to fostering an inviting atmosphere for all participants. The planner also plays a key role in budget management, contract processing, and maintaining detailed records, leveraging technology platforms such as Smartsheet for efficient project planning and communication. A crucial aspect of the job is anticipating potential risks pertaining to safety, compliance, and logistics to guarantee seamless event execution.
The Conference & Event Planner is also responsible for ongoing evaluation and improvement of the event process by analyzing performance trends and sharing actionable insights for future enhancements. The role requires building strong relationships across business units and with external vendors, reinforcing the Clayton brand through distinguished event experiences. Attending all events, managing technical components, guiding participants, and promoting an inclusive, culturally sensitive environment are fundamental to the planner’s commitment.
Clayton supports its Conference & Event Planner with a generous benefits package that includes customizable health, dental, and vision insurance; a competitive 401K plan with company matching; paid parental leave; tuition reimbursement; employee assistance programs; and wellness initiatives. The company’s home office campus enhances work-life balance with amenities such as an onsite restaurant, fitness facilities, workout classes, and recreational areas.
The opportunity comes with a salary range of $66,495 to $83,115, reflecting experience and qualifications, and emphasizes Clayton’s commitment to equal employment opportunities and an inclusive workplace. This role is ideal for a hospitality and event management professional seeking to contribute creatively and strategically within a supportive and forward-thinking organization.
