The Conference & Event Planner role at Clayton is essential to delivering a wide variety of events that align with the company’s learning and development mission. This full-time role encompasses managing the full lifecycle of conferences and events, from detailed pre-event planning through to vendor coordination, logistical organization, and flawless onsite execution. The person in this role acts as the primary liaison for participants, facilitators, vendors, and stakeholders, ensuring smooth and effective communication throughout each event. It calls for a proactive and detail-oriented professional who excels in a fast-paced setting, capable of navigating challenges with creative solutions. Collaborating closely with event teams and facilitators, the Conference & Event Planner takes charge of all event logistics, including scheduling, vendor negotiations, transportation arrangements, accommodations, catering services, and audiovisual needs. They are responsible for budget management, invoice processing, contract administration, and tracking project progress and participant details using planning tools like Smartsheet.

The role involves risk anticipation and resolution, conducting pre-event alignment meetings with partners to clarify objectives and expectations, and ensuring the successful delivery of event agendas. The Conference & Event Planner also leads event activities with enthusiasm, creating an engaging atmosphere that fosters participant involvement and collaboration. Strong relationship-building skills are crucial for working across internal business units and external partners, maintaining Clayton’s esteemed brand reputation. Job Requirements

Job Duties

  • manage the full lifecycle of conferences and events from pre-event planning to onsite execution
