The role of Lead Operations Specialist at Rapid Medical is a frontline position critical to the company’s mission. This is not an office-bound role but rather a dynamic, hands-on job centered around client support, operational leadership, and real-time problem-solving. The Lead Operations Specialist serves as the primary contact for clients requiring time-sensitive assistance, a dependable support resource for drivers navigating unexpected challenges, and a vital link ensuring the overall logistics platform operates flawlessly. Responsibilities include managing the entire client and operational experience, from proactive scheduling and communication to coordinating with field teams and managing relationships with health systems and laboratories. Job Requirements
- High school diploma or equivalent
- Minimum 2 years experience in logistics or related operations
- Ability to work onsite evening shifts Tuesday through Saturday
- Strong organizational and multitasking skills
- Excellent verbal and written communication
- Knowledge of HIPAA, DOT, and healthcare compliance standards
- Capacity to lead and develop a team
- Proficiency in technology platforms for dispatch
- Ability to handle high-pressure situations calmly
Job Qualifications

Job Duties
- Lead, mentor, and develop junior Operations Specialists providing coaching and feedback
- Establish and maintain team standards for client communication and operational excellence
- Conduct regular training on compliance protocols and best practices
- Monitor team performance metrics and implement improvements
- Validate that items meet HIPAA, DOT, and regulatory requirements
- Audit driver documentation and escalate non-compliance issues
- Serve as primary contact for laboratory and health system clients managing scheduling and escalations
- Build trusted client relationships through proactive communication
- Identify and flag service issues before escalation
- Plan and adjust daily routes for efficiency and on-time performance
- Monitor real-time conditions and adjust operations accordingly
- Coordinate driver assignments and capacity management
- Own incident response including missed pickups and reroutes
- Support drivers via mobile platform as a reliable resource
- Document issues and resolutions to improve operations
- Uphold operational standards for health systems trust
