This full-time Event Administrator role is based in Northbrook, Illinois, and serves as a vital support position within the Midwest team. The role is integral to ensuring smooth and efficient daily operations that allow regional fundraisers, leadership, and internal teams to focus on advancing the organization's mission. Reporting to leadership within the Midwest division, the Event Administrator handles high-level administrative duties, data management, and operational support. This position requires close collaboration with various departments to coordinate programs, manage communication efforts, maintain meticulous donor and campaign records, and oversee financial data processing with accuracy and timeliness.
Operated from the Northbrook office, the Event Administrator will be expected to work five days a week and is required to support initiatives through logistics, database management, Salesforce reporting, and special projects as assigned. Job Requirements
- BA/BS degree required
- minimum 1 year of experience in event planning or administrative support
- proficiency in Microsoft Office Suite
- familiarity with CRM systems like Salesforce
- excellent organizational and communication skills
- ability to multitask and problem-solve under tight deadlines
- flexibility to work nights, weekends, and travel as needed
- valid US driver’s license and access to a personal car and credit card
- ability to lift up to 25 lbs

Job Duties
- Partner with regional fundraisers, leadership, and internal teams to provide comprehensive administrative and operational support, ensuring smooth execution of day-to-day activities
- manage general office and administrative functions including answering and directing phone calls and handling general inquiries
- format, coordinate, and execute mailings and communications
- utilize Salesforce and other organizational systems to build and pull complex reports based on appropriate criteria to support fundraising and operational needs
- maintain accurate and up-to-date donor, prospect, and campaign records
- track and manage sponsorships, registrations, table assignments, pledges, donations, and payments
- oversee donation and financial data processing including entering and coding donations, pledges, invoices, and payments accurately and in a timely manner
- reconcile records and ensure alignment between internal systems and financial documentation
- support compliance with organizational policies and procedures related to gift processing
- maintain strong data hygiene and integrity by regularly reviewing and updating records, verifying donor and constituent information, and identifying and correcting discrepancies
- coordinate logistics and administrative components related to organizational initiatives including supporting internal coordination of programs, meetings, and fundraising efforts
- manage documentation, tracking materials, and ensure readiness of administrative assets
- collaborate with internal departments to ensure alignment and follow-through
- utilize internal tools, systems, and processes to ensure efficiency, organization, and adherence to organizational standards
- support special projects and cross-functional initiatives, and perform additional duties as assigned
