Currently, Clarity Partners is seeking an enthusiastic and detail-oriented Office Coordinator specializing in reception and events to join their on-site team. This role is pivotal in maintaining the smooth operation of the office environment and enhancing the overall experience of employees, clients, and visitors. The Office Coordinator will provide comprehensive administrative support to both executives and operational staff, ensuring that the office remains organized, welcoming, and efficiently managed. This position requires an individual who is energetic, thoughtful, and creative, capable of multitasking while maintaining a professional demeanor.

In addition to handling traditional receptionist duties such as greeting visitors, managing phone calls, and overseeing mail and packages, the Office Coordinator will play a key role in planning and executing engaging internal and external events. This includes organizing company meetings, coordinating conference room bookings, and leading the full event planning process for corporate gatherings, client events, and celebrations. The candidate will be responsible for everything from the creative conceptualization of events to the logistical execution, thereby contributing significantly to team morale and company culture.

This is a full-time, on-site position based in Chicago with a competitive base salary range of $60,000 to $75,000, reflective of the candidate’s experience, skills, and qualifications. Job Requirements

  • High school diploma or equivalent required
  • associate's degree or higher preferred
  • 2+ years of experience in a receptionist or front desk role
  • 2+ years of experience in event coordination and management
  • excellent interpersonal and communication skills
  • exceptional organizational and time management skills
  • proficient in Microsoft Office Suite and Smartsheet
  • comfortable using office equipment
  • ability to maintain a professional demeanor and appearance
  • strong problem-solving skills and a proactive attitude

Job Qualifications

  • 2+ years of experience in event coordination and management

Job Duties

  • Greet visitors and clients with a professional and friendly demeanor while handling incoming and outgoing mail and packages
  • answer and direct phone calls, emails, and other inquiries
  • maintain and manage the office area to ensure a clean, organized, and welcoming space
  • ensure office supplies and kitchen are stocked and order necessary items when needed
  • ensure office organization is well-kept and routinely checked
  • assist with general office upkeep and any administrative tasks to support office operations
  • schedule meetings and appointments for clients, team members, and executives
  • coordinate conference room bookings and prepare meeting spaces
  • manage office calendars and ensure timely and efficient scheduling of appointments and events
  • provide clerical support to various departments as needed (filing, data entry, etc.)
  • conceptualize and execute engaging internal and external events that boost team morale, culture, and cross-functional collaboration
  • lead end-to-end event planning for company gatherings, client events, and celebrations, managing creative vision, logistics, and flawless execution
