Job Description

The Event Coordinator role at the Commercial Club of Chicago is a full-time position reporting directly to the Director of Membership and Events. This role is fundamental in supporting the planning and execution of various events that serve to enhance the membership experience and promote the mission of both the Commercial Club and the Civic Committee. The position involves a broad range of responsibilities related to event logistics, including venue selection, catering, audio-visual setup, and supplier coordination. The coordinator will manage events that typically range from luncheons and committee meetings to receptions and the Annual Holiday Dinner, involving high-level business and civic leaders. With a focus on outstanding organizational skills and attention to detail, the Event Coordinator will ensure every event runs smoothly from inception through to post-event follow-up.

This role is designed for a person who is adaptable, eager to build expertise in event management, and enjoys engaging with senior leaders across various sectors. The coordinator will be involved in generating ideas for new programs, managing RSVPs, facilitating event communications, coordinating travel for speakers, and maintaining close working relationships with vendors and event venues. The position is located in Chicago with regular travel within the city and offers a hybrid work arrangement balancing in-person and remote work. Job Requirements

  • Knowledge of event planning and execution
  • Experience with Salesforce preferred

Job Qualifications

  • Bachelor’s degree
  • Minimum of 3-5 years of relevant work experience in a non-profit, association, or trade group setting
  • Demonstrated knowledge of the events and hospitality industry

  • Skilled in creating professionally written and accurate documents
  • Experience working in Salesforce preferred

Job Duties

  • Participate in the development and planning of new programs and supplemental events for members
  • Schedule and participate in planning calls with speakers
  • Book travel arrangements for incoming speakers
  • Draft minute by minute event timelines including logistical details and staffing
  • Coordinate directly with vendors such as venue, photographer, floral, and AV
  • Create RSVP lists and respond to members regarding RSVPs and event related questions
  • Partner with IT and external vendors to plan and set up technology for events
  • Draft and send email invitations and reminder notes
  • Produce printed items like name tags, place cards, and menu cards
  • Serve as one of the main points of contact on event days to ensure smooth execution
  • Track onsite attendees and no shows
  • Assist with microphones during audience Q&A
  • Collect badges after events
  • Track and maintain attendance records
  • Schedule and attend internal debrief meetings
  • Create post-event surveys
  • Track costs and process invoices
  • Schedule quarterly Program Committee meetings
  • Assist in creating and distributing materials for meetings
  • Attend meetings and maintain minutes
  • Coordinate scheduling of all Commercial Club and Civic Committee events
  • Update and maintain the event page on the Commercial Club’s website
  • Order and maintain supplies
  • Update Civic Leaders calendar
  • Provide excellent customer service to members
