The Event Manager - External Meetings plays a pivotal role within this company. This position is responsible for the end-to-end management of events targeted at healthcare professionals (HCPs), key opinion leaders (KOLs), and other significant stakeholders within the life sciences community. The Event Manager ensures seamless coordination and execution of multiple high-profile meetings and engagements, including pharmaceutical Advisory Boards and Investigator Meetings, which are critical for client success in their markets. The role demands a seasoned professional capable of managing complex international events, understanding the nuances of global country guidelines, and maintaining rigorous quality control measures across all deliverables. The Event Manager also acts as a leader for the internal team, cultivating collaboration, driving process improvements, and ensuring that internal practices align with client expectations and industry standards. Job Requirements

  • Bachelor’s degree or equivalent experience
  • Minimum two to three years relevant experience in event management or group travel
  • Experience planning life sciences events for healthcare professionals and international attendees
  • Strong organizational skills with attention to detail
  • Ability to manage multiple concurrent projects and prioritize workload
  • Proficiency in Microsoft Office suite
  • Effective communication skills for client and team interaction
  • Ability to lead and collaborate in cross-functional teams
  • Flexibility and sensitivity to diverse stakeholder needs
  • Experience with virtual meeting platforms such as Teams and Zoom
  • Knowledge of financial management and budget preparation

Job Qualifications

  • Bachelor’s degree in Business, liberal arts, public relations, communications, or event management preferred
  • Minimum of three years experience in group travel or event management with similar responsibilities
  • Experience in life sciences event planning for HCPs, KOLs, US and international audiences
  • Strong organizational and multitasking skills
  • Effective communication and business writing skills
  • Proficiency with Microsoft PowerPoint, Word, Excel
  • Familiarity with Teams and Zoom preferred
  • Knowledge of project management software, Visio and CRM systems a plus
  • Understanding of financial principles, budgeting and profitability assessment
  • Demonstrated negotiation skills
  • Excellent interpersonal and human relations skills
  • Ability to work in a matrix organizational structure and support team objectives
  • Customer service experience preferred
  • Willingness to innovate and challenge status quo

Job Duties

  • Coordinate pharmaceutical Advisory Boards, investigator meetings, speaker trainings and congress engagements
  • Ensure quality control measures and deliverables are met
  • Manage events for life sciences clients including US and international attendees
