The Event Producer role at HMR Designs is a full-time, in-office position crucial to the successful execution of events. This role is centered on supporting the Event Sales team by managing the planning, coordination, and execution of events from initial proposal through to final production. This position also involves additional responsibilities such as creating inspiration boards and floor plans, managing schedules via Google Calendar, preparing client meeting spaces, and supporting promotional and special projects. The working schedule for the Event Producer primarily spans weekdays from 8:30 am to 5:00 pm, with necessary evenings and weekends depending on event demands. Job Duties

  • Support Event Sales Designers throughout the sales and production process
  • Create proposals and event Creatives using Direct, including specs and pricing
  • Track timelines, deadlines, and inventory availability
  • Monitor custom projects to ensure pricing, ordering, and production milestones are met
  • Serve as liaison between Event Sales, internal departments, and Management
  • Attend production meetings, client meetings, and mockups as needed
  • Distribute Creatives, revisions, and well-organized Day of Event materials
  • Conduct venue site surveys to assess installation logistics
  • Source and manage rental items and subcontractors
  • Confirm timelines with clients, planners, and internal teams
  • Assist with or lead on-site event execution, ensuring timelines and expectations are met
  • Troubleshoot issues and provide thoughtful solutions in real time
  • Create inspiration boards and floor plans
  • Maintain accurate scheduling in the company Google Calendar
  • Prepare conference rooms and materials for client meetings
  • Support promotional events, special projects, and last-minute client needs
  • Assist with process improvements and workflow efficiencies
