The Event Design Specialist position at Express Employment International is an integral role within the company’s corporate office, based in Oklahoma City. This role is primarily onsite, requiring approximately 80 percent presence at events or company facilities. The specialist plays a pivotal part in conceptualizing and executing engaging events tailored for the corporate and franchisee workforce. From developing strategic meeting designs to managing complex event logistics, this position demands a creative yet pragmatic approach to event management. The specialist collaborates closely with internal stakeholders and external vendors, harmonizing various elements such as agenda creation, session scheduling, speaker coordination, and attendee engagement to deliver seamless, memorable event experiences.

Job Requirements

  • Bachelor’s degree in an event hospitality specialty marketing communications or management field
  • six years meeting planning experience
  • three to five years experience in corporate meeting planning preferred
  • current passport with ability to travel unrestricted internationally
  • strong problem-solving and conflict resolution skills
  • proficiency with Microsoft Office Suite
  • experience with event and collaboration platforms

Job Qualifications

  • Six years meeting planning experience
  • bachelor’s degree in event hospitality marketing communications or management field
  • three to five years experience in corporate meeting planning preferred
  • current passport with ability to travel internationally unrestricted
  • knowledge of event planning meeting design and event logistics
  • understanding of meetings industry including vendor management and venue operations
  • familiarity with audio visual coordination stage production risk management and contingency planning
  • strong problem-solving and conflict resolution skills
  • ability to design engaging meeting content and attendee experiences
  • vendor sourcing negotiation and relationship management
  • budget development and financial tracking
  • excellent verbal and written communication skills
  • proficiency in Microsoft Office Suite
  • experience with event and collaboration platforms such as Cvent Navan Workfront OneDrive Adobe Acrobat Pro or similar

Job Duties

  • Lead strategic meeting design for assigned events including agenda development program flow and show flow aligned with event objectives and stakeholder priorities
  • partner with internal stakeholders to translate business goals into engaging sessions and attendee experiences
  • integrate side meetings ancillary sessions and special event programming into the overall event schedule
  • source negotiate and manage guest speakers and panelists including preparation through briefing sessions content reviews and coordination with internal leadership
  • ensure general session programming and event activities align with organizational standards and applicable requirements
  • manage logistics for learning sessions including scheduling room assignments and coordination with venues and vendors
  • develop and maintain session information such as descriptions speaker biographies and scheduling details
  • analyze attendance demand and recommend space allocation or alternative solutions
  • support event innovation and continuous improvement through post-event feedback and documentation
  • build and manage event registration platforms and mobile applications for assigned meetings
  • oversee the registration lifecycle including attendee support and troubleshooting
  • serve in onsite leadership roles during events making real-time decisions to support successful execution
  • train and brief onsite teams on registration systems learning session operations and attendee support procedure
  • travel regularly for event execution site visits and professional development
