The role of the Events Specialist within Experience Tulsa is pivotal to bringing this mission to life. Job Requirements
- Bachelor’s degree in event management, hospitality, or related field preferred
- Minimum 2.5 years experience in event planning and coordination
- Exceptional organizational skills
- Strong multitasking and deadline management abilities
- Proven experience in budgeting and vendor contract negotiation
- Excellent verbal and written communication skills
- Proficiency in event and project management software
- Commitment to diversity, equity, and inclusion
- Ability to work collaboratively with diverse teams

- Ability to stand and walk for extended periods
- Ability to lift and carry items up to 25 pounds

Job Qualifications
- Bachelor's degree in event management, hospitality, or related field preferred
- 2.5+ years of experience in event planning and coordination for small to large-scale events
- Exceptional organizational and project management skills
- Proven budget management and vendor negotiation experience
- Strong verbal and written communication skills
- Proficiency with event management software such as Eventbrite and project management tools like Asana

Job Duties
- Plan, coordinate, and execute a variety of events including in-person and virtual
- Develop event concepts, schedules, and logistics plans aligned with objectives
- Work with internal teams to define event needs and secure resources
- Track event details and manage tasks in Asana
- Source, negotiate, and manage relationships with vendors including caterers, AV providers, venues, and rental companies
- Conduct site visits and manage setup logistics
- Support contract negotiations and ensure compliance with vendor agreements
- Collaborate with marketing team to promote events through multiple channels
- Manage event registration and attendee communication
- Maintain oversight of event budgets by forecasting expenses and tracking costs
- Support on-site event operations and troubleshoot issues in real-time
- Analyze post-event feedback and prepare reports
- Perform other duties as assigned
