This full-time position empowers the selected candidate to be responsible for managing event platform configurations, coordinating logistics, and working closely with various departments to create an engaging and cohesive attendee experience. Utilizing platforms such as Cvent, the Events Associate will independently sequence event components, recommend vendor solutions, and handle communications with attendees to maximize the impact and efficiency of every event.
The role requires someone with strong organizational and analytical skills who can multitask across different projects and make informed decisions that directly impact event outcomes and participant satisfaction. Collaboration with the Manager of Travel and Events is fundamental for developing event timelines, designing appropriate delivery and format strategies, and coordinating resources to ensure successful program execution. Job Duties
- Own event build and configuration in Cvent including website, registration, mobile app, housing/travel modules, and reporting
- Evaluate configuration options and recommend solutions to meet event needs and attendee experience goals
- Plan and coordinate event logistics including venue requirements, travel/accommodations, attendee profile needs, session design, run-of-show, and stakeholder communications
- Make recommendations to leadership on format, sequence, and vendor selection
- Manage vendor and supplier relationships including coordinating deliverables, negotiating timelines, monitoring service levels, and escalating issues to leadership when needed
- Track associated event expenses and vendor invoices
- Analyze event data and attendee feedback to recommend improvements for future events and inform event strategy, design, and engagement
