Featuring 144 well-appointed guest rooms, this hotel provides guests with a variety of dining and entertainment options including the Farm-to-Table Town Company restaurant, the lively Nighthawk music venue and cocktail bar, The Lobby Market coffee cafe, and The Classic lobby lounge and bar which serves as a welcoming hub for both locals and visitors. Moreover, Hotel Kansas City boasts an extensive 20,000 square feet of meeting and event space, ideal for corporate functions, weddings, and social gatherings. The Event Planning Manager role at Hotel Kansas City is a pivotal position that bridges the gap between clients and the hotel's internal teams to ensure flawless event delivery. Reporting to the Associate Director of Events, this position demands an individual with exceptional organizational skills, an empathetic approach, and the ability to manage multiple priorities effectively. The manager will serve as the main point of contact for client events, coordinating with sales managers, vendor partners, and various hotel departments, including culinary and operations teams, to execute events seamlessly. The role primarily operates Monday through Friday but requires flexibility to accommodate evenings and weekends as needed to meet business demands.

This position focuses strongly on the wedding market but supports a variety of event segments. The manager is responsible for overseeing all stages of event planning, including space verification, programming details, equipment and menu selection, and decorating themes. They ensure that event requirements are accurately communicated across departments through detailed event resumes, orders, and comprehensive pre- and post-event meetings. Additionally, the Event Planning Manager monitors budgets, forecasts banquet revenues, and engages in activities such as client tours, tastings, and industry events to foster positive relationships and strengthen the hotel’s reputation. Job Requirements

  • Minimum two years event planning experience preferably in hotel or comparable industry
  • Experience in wedding market planning preferred
  • Exceptional organizational and project management skills
  • Strong written, verbal communication, and listening skills
  • Ability to manage conflict with urgency and integrity
  • Proficiency with Microsoft Office and event planning software
  • Ability to lift or carry 10-15 lbs
  • Flexibility for variable hours including evenings and weekends
  • Ability to move between multiple levels of the building via stairs or elevator

Job Qualifications

  • Minimum two years of event planning experience, preferably in the hotel or comparable industry

  • Excellent communication skills, both written and verbal
  • Ability to listen and maintain attention to detail
  • Proven conflict resolution abilities with integrity and care
  • Capable of managing competing priorities and producing consistent results
  • Proficiency in computer software including Microsoft Office, collaboration tools like MS Teams and Slack, and event planning software
  • Ability to lift, push, or pull 10-15 lbs, and navigate multiple building levels

Job Duties

  • Approach work relationships with an empathy-forward mindset and contribute to strong team morale
  • Gain insights into guest needs, identify opportunities that benefit the guest, and deliver solutions that meet customer expectations
  • Plan, upsell, and detail event programs including verification of space, equipment, menus, themes, and decorations
  • Communicate client requirements to all hotel departments through event resumes, event orders, and meetings
  • Forecast banquet food and beverage revenues
  • Monitor and control event budgets to maximize revenues and minimize expenses
  • Develop and maintain positive relationships with clients, vendors, and suppliers
  • Review bills and post-conference reporting with meeting planners
  • Represent the hotel professionally at client functions, tours, tastings, and industry events
  • Provide a service culture that ensures positive event satisfaction and strong internal communications
  • Perform other duties as assigned
