The role of Events Coordinator at UHSP is pivotal in supporting the university’s mission by managing and executing a broad spectrum of high-quality events and special projects. This position plays a key role in facilitating successful events that advance the university’s strategic goals and enhance community relations. The Events Coordinator is responsible for assisting in the development, detailed planning, and flawless execution of complex multi-day events as well as smaller gatherings, including institutional, departmental, and student-led activities. A critical aspect of the role involves maintaining strong collaborative relationships with university faculty and staff, service providers, and external groups interested in campus space rentals.

This position requires a flexible work schedule to accommodate events that occur during evenings and weekends. The Events Coordinator works under the guidance of the University Events Manager to oversee all logistical components such as contracts, vendor management, audiovisual needs, catering, signage, parking, and more. Attention to detail and process orientation are essential for tracking payments, income, and expenditures associated with third-party rentals. Additionally, the role demands proficiency in using event management systems for scheduling and executing events effectively.

An ideal candidate will be technologically adept, detail-focused, and capable of managing multiple responsibilities simultaneously with a calm demeanor under pressure. This role also involves serving as the on-site planner during events, ensuring that all aspects run smoothly and that any issues are resolved effectively without negatively impacting attendees. Strong organizational skills, problem-solving capabilities, and excellent interpersonal communication are vital in liaising with diverse stakeholders at all levels. Job Requirements

  • Associate’s degree in hospitality, business, or related field with 6 months of relevant event planning experience required
  • In lieu of degree, 5 years of event planning experience required
  • Proficiency with Microsoft Office programs including Word, Excel, PowerPoint, Outlook, Teams, OneDrive required
  • Willingness to learn new technology and improve skills
  • Ability to represent the University professionally when dealing with guests, faculty, vendors, and participants
  • Ability to conceptualize large events with multiple components and handle multiple responsibilities simultaneously
  • Strong organizational, problem solving and customer service skills
  • Demonstrated ability to work independently under pressure
  • Strong interpersonal skills to build and maintain relationships at all levels
  • Resourcefulness under pressure

Job Qualifications

  • Associate’s degree in hospitality, business, or related field preferred
  • Bachelor’s degree in hospitality, business, or related field preferred
  • 1-2 years of professional event planning experience preferred
  • Experience with Timely event management system preferred
  • Basic knowledge of audiovisual equipment preferred
  • Experience in customer service or venue rental management including contracts preferred
  • Proficiency with Microsoft Office programs
  • Excellent organizational and project management skills
  • Strong interpersonal and communication skills
  • Ability to work independently and under pressure
  • Detail-oriented and process-focused

Job Duties

  • Assist with event planning and execution for complex multi-day and smaller or single activity events
  • Work closely with stakeholders to understand strategic goals and incorporate them into event planning
  • Manage logistics, service delivery, and quality controls including contracts, equipment rental, purchase orders, and invoicing
  • Assist with external rental inquiries, conduct tours, write contracts, and handle post-rental invoices
  • Act as on-site planner during campus space rentals requiring availability during nights and weekends
  • Identify and resolve problems calmly under pressure without impacting guests
  • Track payments, income, and expenditures for third-party rentals
  • Assist with material preparation and production for events
  • Utilize event management systems to track space availability and events on campus
  • Perform other duties as assigned
