Job Description

The Event Management Coordinator at Evangel University is responsible for the full spectrum of conference, event, and meeting planning services within the university. Serving as a key resource and point of contact, the coordinator oversees detailed planning stages including audio/visual production, security, custodial, and catering logistics for a variety of events held on campus. This role demands a unique combination of highly specialized technical skills and exceptional interpersonal abilities, ensuring that multiple projects are managed efficiently and successfully each day. The coordinator works closely with clients and campus constituencies to develop positive working relationships, facilitating tailored event solutions that meet demanding deadlines and budgetary requirements. Responsibilities include detailed client profiling, event description development, and contract negotiations for a diverse range of university-related and external functions. Additionally, the coordinator manages the annual event calendar and supports the logistics team during event setups as needed. The role requires proficiency with event management systems such as EMS Campus, advanced use of PC and MS Office applications, and strong organizational competencies. The position reports directly to the Director of Conference and Event Services and plays a vital role in upholding the university's standards for safe, well-executed events. This full-time university position requires the ability to stand for long periods and to lift equipment of up to 50 pounds, emphasizing the physical demands associated with preparing and executing events. Job Requirements

  • Bachelor's degree
  • Two years related experience preferred
  • Experience in event planning, hospitality, business, or marketing
  • Ability to work with campus and community constituencies
  • Proficient in Event Management Systems (EMS Campus)
  • Ability to stand for long periods
  • Ability to lift up to 50 lbs of equipment
  • Reliable attendance
  • Ability to meet deadlines under pressure

Job Qualifications

  • Bachelor's degree
  • Two years related experience in event planning, hospitality, business, or marketing preferred
  • Demonstrated record of experience in an office environment or equivalent to include event and facilities management
  • Ability to work with campus and community constituencies
  • Knowledge and experience using Event Management Systems (EMS Campus)
  • Excellent organizational and detail-oriented skills
  • Strong analytical and problem-solving skills
  • Ability to concurrently coordinate multiple projects

Job Duties

  • Responsible for all aspects of assigned conferences and events including planning, preparation, production and logistics, final budget closeout and reconciliation
  • Work closely with the conference/event contact throughout the planning of the actual conference/event to assure a successful event
  • Schedule and coordinate the use of facilities and other resources such as logistics, audio/visual production, security, custodial, and catering for all assigned conferences, meetings, and events
  • Write detailed plans of action (client profiles and event descriptions) for conferences/events on campus
  • Manage the yearly event calendar and associated forms
  • Write contracts for conferences, camps, meetings, and events for external clients
  • Maintain consistent and reliable attendance
  • Participate in planning committees
  • Assist the logistics coordinator in conference, event, and meeting set ups when needed
  • Perform other duties as directed by the Director of Conference and Event Services
