We are currently seeking a Receptionist/Front Desk Coordinator to join our dynamic team either on a part-time or full-time basis. This pivotal role serves as the first point of contact, embodying professionalism and friendliness while greeting visitors, clients, and vendors. The Receptionist/Front Desk Coordinator is responsible for managing front desk operations and providing crucial administrative support that contributes to the seamless functioning of our office. Ideal candidates are highly organized, personable, and adept at handling multiple tasks efficiently within a fast-paced professional setting.
The role involves comprehensive responsibilities such as answering and directing phone calls and emails, maintaining an orderly and presentable front desk and common areas, scheduling appointments and meetings, handling mail and deliveries, and offering general administrative assistance like data entry, filing, copying, and document preparation. Additionally, the Receptionist supports the maintenance of office supplies and assists in insurance request processing and internal communication regarding these matters. The position also collaborates with human resources on onboarding and other administrative tasks, ensuring confidentiality of sensitive information and promoting effective departmental coordination for daily operations. Job Requirements
- High school diploma or equivalent
- 1–3 years of administrative, receptionist, or front desk experience preferred
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Strong communication and customer service skills
- Excellent organizational and multitasking abilities
- Ability to work independently and as part of a team
- Valid NYS driver's license required

Job Duties
- Greet and assist visitors, clients, and vendors in a professional and friendly manner
- Answer and direct incoming phone calls and emails
- Maintain the front desk and common areas to ensure they are organized and presentable
- Schedule appointments, meetings, and conference room bookings
- Handle incoming and outgoing mail, packages, and deliveries
- Provide general administrative support such as data entry, filing, copying, and document preparation
- Maintain office supplies and place orders when necessary
- Assist with processing insurance requests and providing status updates as needed
- Communicate with internal staff regarding insurance requests when necessary
- Assist with onboarding and other HR-related administrative tasks as needed
- Coordinate with other departments to support daily office operations
- Maintain confidentiality of sensitive information
- Other duties as assigned
