The Corporate Office Administrator position is based in the Mandarin Oriental New York Corporate Sales Office. This critical role involves supporting the day-to-day operations of the corporate office and providing comprehensive administrative assistance to senior leaders and cross-functional teams. The Corporate Office Administrator is a vital part of the New York sales office team, ensuring smooth, efficient, and professional office functioning aligned with the company’s core values including integrity, respect, and responsibility. Reporting directly to the Vice President, Global Sales, The Americas, the individual in this role will contribute to the overall success of the office by managing front desk operations, customer service functions, and administrative processes with a high level of professionalism and attention to detail. The role demands a proactive and organized individual capable of managing multiple priorities in a fast-paced and dynamic corporate environment while embracing a growth mindset and delivering exceptional service to internal stakeholders.

In this capacity, the Corporate Office Administrator will play a supportive role in event coordination for the sales team, assist with expense report management for senior leadership, and maintain essential office amenities such as supplies and meeting spaces. The administrator will also facilitate communication and coordination with building management and facility vendors to ensure an optimal working environment. Job Duties

  • Front desk management and customer service

  • Answer and direct phone calls to appropriate personnel
  • Manage incoming and outgoing mail and packages
  • Ensure all meeting spaces are maintained and in good condition
  • Support senior leaders with expense report management
  • Support sales team with event coordination
  • Partner with People & Culture to support office events and celebrations
  • Liaise with building management and facility vendors for maintenance requests
  • Order office supplies and pantry items regularly
  • Perform other responsibilities as assigned by supervisor or leadership
