Job Requirements

  • High school diploma or equivalent
  • Previous experience in a receptionist or administrative role preferred
  • Familiarity with Catholic Church practices and community preferred
  • Proficient in Microsoft Office applications
  • Experience with web-based scheduling and database management
  • Strong communication and interpersonal skills
  • Ability to maintain confidentiality
  • Willingness to work occasional evenings or weekends
  • Ability to handle multiple tasks simultaneously and prioritize effectively

Job Qualifications

  • Strong technical ability with Microsoft Word, Excel, PowerPoint, Outlook, File Explorer and One Drive
  • Extensive experience with Adobe Acrobat, Google Chrome web browser, internet searches and network file navigation
  • Working knowledge of Catholic Social Teaching and the Catholic Liturgy with willingness to obtain deeper knowledge
  • Ability to work within organized framework but adapt to ever-changing circumstances
  • Extensive problem-solving skills with excellent follow-up
  • Ability and willingness to work with those experiencing pastoral care needs demonstrating empathy and concern
  • Ability to maintain a consistent schedule including occasional after hours or weekends
  • Possess dependability, timeliness and attendance
  • Strong sense of urgency and ability to prioritize tasks
  • Ability to work independently and as part of a team using good judgement and initiative

Job Duties

  • Serve as the point of contact for parishioners, prospective parishioners and guests
  • Answer phone for the main Parish phone number and redirect calls as appropriate
  • Use parish software and equipment to check in visitors and volunteers coming to the campus
  • Accept mail and deliveries
  • Maintain the Mass Intention process including maintaining all required web-based calendars related to Mass Intentions
  • Schedule appointments for specific members of the Parish Leadership Team, including clergy
  • Distribute checks as directed by the Parish Business Office
  • Maintain organization and appearance of main lobby area
  • Assist with Pastoral Care scheduling for Funerals, Weddings, Quinceañeras and other events
  • Perform initial intake for requests for funerals, pastoral care, referrals, and other Pastoral Care Department inquiries
  • Assist with scheduling meetings with parishioners, requests for Pastoral Care visits and requests for referrals
  • Maintain web-based database for Weddings, Funerals, and Quinceañeras
  • Maintain Pastoral Care Resource Guide, updating regularly as necessary
  • Draft Pastoral Care related documents using Microsoft Word, Microsoft Excel, Microsoft PowerPoint and Adobe Acrobat
  • Maintain Pastoral Care templates, forms, guides, and other materials to ensure use of the most recent versions
  • Maintain and update other online materials, as directed
  • Learn departmental processes and procedures and contribute to the continual improvement of same
  • Perform other administrative duties as assigned
