Job Description

The University of New Mexico's School of Medicine, specifically the Office of Education Medical Student Affairs Office, is seeking an experienced and detail-oriented Events Planner to join their dedicated team. As a public research university, the University of New Mexico (UNM) plays a significant role in educating future healthcare professionals and advancing medical knowledge through cutting-edge research. The Events Planner will be instrumental in managing and executing a wide variety of events for the School of Medicine's medical students. These include large-scale, high-profile functions such as the convocation ceremony and the MD program student orientation, as well as numerous smaller gatherings like class meetings and student organization events. The role demands exceptional organizational skills and the ability to oversee all phases of event planning, from conceptualization through execution and post-event follow-up.

This full-time, exempt staff position comes with a competitive monthly salary range of $3,802.93 to $5,097.73 and a comprehensive benefits package that includes medical, dental, vision, and life insurance, along with tuition remission and dependent education programs through UNM. The Events Planner will be based at the Health Sciences Center in Albuquerque, NM, and is expected to maintain compliance with university policies, including influenza vaccination requirements for those working in clinical areas.

In addition to planning and coordinating events, the Events Planner is responsible for managing event promotions and strategy in collaboration with major stakeholders. This requires strong communication skills and the ability to coordinate planning meetings effectively. The position also involves logistical support for learning communities and student organizations, preparation and review of event materials and social media content, and diligent management of event budgets and financial records. Candidates must demonstrate proficiency with various software including Microsoft Office 365 Suite, Adobe Creative Cloud (such as InDesign and Photoshop), Google Suite, Smartsheet, and desktop publishing tools like Lucid Press.

The successful candidate will be a proactive self-starter who can manage multiple projects simultaneously, prioritize workload efficiently, and operate effectively in a dynamic environment. They will have experience negotiating contracts and a sound understanding of contractual language to ensure the university's interests are safeguarded while enhancing the quality of events. The job requires occasional evening and weekend hours to provide on-site event support and management.

Job Requirements

  • High school diploma or GED
  • At least 5 years of relevant experience related to duties and responsibilities
  • Ability to manage multiple tasks simultaneously and prioritize workload
  • Self-starter with strong organizational skills
  • Ability to create and manage multiple budgets adhering to university policies
  • Understanding of contractual language and negotiation skills
  • Must comply with university influenza vaccination requirement if working in clinical areas

Job Qualifications

  • High school diploma or GED
  • At least 5 years of experience directly related to event planning and coordination
  • Demonstrated experience in event planning and/or project management
  • Detail oriented with strong organizational skills
  • Ability to effectively communicate both written and orally
  • Advanced working knowledge of Microsoft 365 Suite
  • Proficient Adobe and Google Suite software skills
  • Experience coordinating and supporting large events with 100 or more people
  • Ability to maintain a calm demeanor under pressure
  • Proficiency with MS Word, MS Excel, Smartsheet, Adobe InDesign, Adobe Photoshop, Lucid Press or other desktop publishing software

Job Duties

  • Plan, coordinate, and execute major and minor events including set up and tear down
  • Provide logistical activity and event support for Learning Communities and student organizations
  • Create, prepare, proof-read, and review content and format for all event materials and social media outlets
  • Maintain records of orders ensuring appropriate accounting
  • Order event related supply materials including speaker and attendee awards
  • Prepare and update mailing lists required for events
  • Coordinate and conduct planning meetings with stakeholders
  • Develop and maintain event budgets, regularly update stakeholders regarding budget revenues and expenses, prepare event timelines
  • Provide day-of event support, coordination, and oversight of staff and volunteer staff
  • Communicate with venue contacts prior to and during event to ensure on-site details are properly executed
  • Negotiate contracts and fully understand contractual language to enhance meetings while protecting company liability
  • Provide peripheral support for chartered MD student organizations
  • Work occasional weekend and evening hours as needed for event support and management
