Job Requirements

  • High school diploma or equivalent
  • Minimum two years of administrative support and/or office experience
  • Supervisory experience preferred
  • Advanced proficiency in Microsoft Office, PowerPoint, and Excel
  • Willingness to learn additional software applications
  • Strong customer service experience in hospitality
  • Experience working with older adults and individuals with a variety of abilities
  • Ability to demonstrate emotional intelligence and professionalism
  • Skills in minute-taking and active listening
  • Ability to maintain confidentiality
  • Reliable and punctual
  • Notary Public certification or willingness to obtain

Job Qualifications

  • Two years of administrative support and/or office experience
  • Two years of supervisory experience preferred
  • Advanced computer skills including Microsoft Office, PowerPoint, and Excel
  • Ability and willingness to learn other software programs
  • Experience providing excellent customer service in a hospitality setting
  • Experience working with older adults and individuals with diverse abilities and needs

Job Duties

  • Set an example for reception team demonstrating exemplary service and confidentiality
  • Manage reception desk ensuring accuracy and professionalism
  • Perform clerical duties such as managing phone and contact directories, correspondence, and reports
  • Proofread documents and prepare handwritten minutes
  • Sort and prioritize incoming mail and documents, maintain follow-up on pending matters
  • Greet visitors and answer telephone calls
  • Produce newsletters, flyers and maintain in-house electronic bulletin boards
  • Coordinate scheduling of medical appointments and labs for residents
  • Work with volunteer drivers for resident transportation needs
  • Assist with maintaining resident records and ensure proper filing
  • Provide direct administrative support to Campus Executive Director including calendar management, meeting organization, and communication
  • Support administrative operations of clinical team
  • Deliver clear, factual messaging to residents and visitors on behalf of campus leadership
  • Respond appropriately to emergent issues balancing priorities
  • Uphold core values, brand, and communication expectations in all interactions
  • Perform other duties as assigned
