Job Requirements

  • Bachelor's degree
  • At least two years of previous events experience
  • Proven effectiveness in working with different client/participant groups managing budgets and logistics
  • Ability to create and foster good working relationships internally and externally
  • Team player who also works independently
  • Skilled at managing projects with tight deadlines
  • Adaptable to change and positive problem solver
  • Previous experience with on-site event management including setup registration venue logistics and audiovisual knowledge
  • Excellent oral and written communication skills
  • Willing and able to work evenings twice per week early mornings occasional weekends and travel
  • High proficiency in Microsoft Office Word and Excel
  • Previous work in research or academic settings is a plus
  • Basic knowledge of audiovisual equipment and desktop publishing software preferred
  • Working knowledge of Cvent or similar event management software preferred
  • Working knowledge of Sortly or similar inventory management software preferred
  • Able to move supplies and equipment up to 20 pounds
  • Able to support events across multiple office locations and off-site venues

  • Strong troubleshooting skills and good judgment
  • Previous experience with on-site event management including setup and audiovisual needs
  • High proficiency in Microsoft Office Word and Excel
  • Ability to work evenings, early mornings, occasional weekends and periodic travel
  • Previous work in research or academic settings is a plus
  • Basic knowledge of audiovisual equipment and desktop publishing software is preferred
  • Working knowledge of Cvent or similar event management software is preferred
  • Working knowledge of Sortly or similar inventory management software is preferred

Job Duties

  • Support the Senior Events Manager with logistics before, during and after events including ground transportation, facilities management and on-site and off-site meals
  • Communicate beverage and meal assistance needs to per diem staff
  • Serve as the main point of contact for events such as Presidential Lectures, SF Presents, Flatiron Seminar Series and CCA Colloquium
  • Review events assistance request forms and assign tasks as needed
  • Supervise or create production collateral such as name badges and program materials
  • Assist with event check-in and other on-site event tasks
  • Track and manage event space inventory using Sortly, prepare and manage orders for inventory replenishment
  • Maintain and purchase dishware for event spaces and replace damaged items
  • Review events calendar to track accurate event counts
  • Research and maintain lists and contacts for off-site venues, restaurants and catering companies
  • Research new event supplies for efficient and unique presentation
  • Perform other duties as assigned
