Job Requirements

  • High school diploma or equivalent
  • minimum three years of related event coordination experience
  • must be 21 years or older due to alcohol service at events
  • ability to perform site selection and contract reviews
  • experience with virtual event platforms
  • proficiency in Microsoft Office
  • knowledge of scheduling software like 25Live
  • ability to manage multiple tasks and deadlines
  • effective communication and collaboration skills
  • capability to comply with university immunization and background check policies

Job Qualifications

  • High school diploma or equivalent
  • three years related experience in event coordination, preferably in higher education or similar setting
  • knowledge of event planning software such as 25Live/College Net
  • proficiency with Microsoft Office suite and communication platforms
  • familiarity with Eventbrite, Social Tables, and related software
  • detailed knowledge of Zoom Meetings and Zoom Webinar
  • ability to manage logistics and vendor relations
  • strong organizational and communication skills

Job Duties

  • Provide direct support and coordination for meetings, seminars, conferences, retreats, events, and activities
  • ensure proper implementation of policies and procedures
  • collaborate with operations staff to maintain facility integrity and safety
  • submit organizer needs including room setup and AV requirements
  • manage logistics with vendors including catering orders and event rentals
  • coordinate with Facilities staff for HVAC and housekeeping requests
  • identify preferred vendors for catering
  • work collaboratively to create green, no waste events
  • maintain preferred vendor list
  • submit loading dock requests for vendors
  • manage guest lists and security considerations
  • provide event signage and crowd control measures
  • coordinate technical needs with Information Technology
  • create and share custom room layouts
  • enter room reservations and AV details in scheduling system
  • develop run-of-show documents
  • track event attendance and attrition rates
  • coordinate with affiliates and external users regarding facility information and space rental
  • handle parking pass coordination and invoice processing
  • manage virtual and hybrid event reservations
  • assign tasks and manage progress as project manager
  • evaluate and develop event run-of-show documents
  • consult on virtual event design strategy
  • manage virtual event platform for VIP events
  • research virtual/hybrid event trends
  • maintain technical knowledge of Zoom platforms
  • collaborate with Marketing for event branding and microsite design
  • share virtual event recordings
  • conduct briefings with guest speakers
  • oversee event tech rehearsals
  • train event hosts on virtual platforms
  • evaluate training and customer satisfaction
  • update best practices for virtual/hybrid events
  • conduct facility tours
  • manage department email and reports
  • assist leadership with special projects
  • perform site selection and contract review
  • manage registration and attendance
  • oversee commencement activities including regalia ordering and social media
  • manage commencement email responses
