Job Requirements

  • High school diploma or equivalent
  • Proven experience in administrative or clerical roles
  • Proficiency with Microsoft Office and Google Workspace
  • Experience with multi-line phone systems
  • Strong written and verbal communication skills
  • Ability to handle confidential information discreetly
  • Bilingual proficiency is preferred
  • Ability to multitask and prioritize in a fast-paced environment

Job Qualifications

  • Proven office experience with a strong background in administrative or clerical roles
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar)
  • Familiarity with QuickBooks or similar accounting software
  • Excellent organizational skills with the ability to multitask effectively
  • Strong customer service skills with professional phone etiquette
  • Experience managing multi-line phone systems
  • Bilingual abilities are highly desirable
  • Prior experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous
  • Knowledge of office management procedures and time management skills

Job Duties

  • Greet visitors professionally and manage the front desk with warmth and courtesy
  • Operate multi-line phone systems, screen calls, and direct inquiries to appropriate team members
  • Manage the CEO’s calendar by scheduling appointments, meetings, and travel arrangements
  • Handle correspondence including emails, memos, and reports with accuracy and proofread documents
  • Maintain organized physical and digital filing systems using software like Microsoft Office, Google Workspace, and QuickBooks
  • Support office management tasks such as ordering supplies, coordinating maintenance, and overseeing administrative functions
  • Assist with bookkeeping tasks including invoicing and expense tracking using QuickBooks
  • Perform clerical duties including typing, proofreading, data entry, and document filing
  • Manage confidential information discreetly and support the CEO’s personal assistant needs as required
