Job Requirements
- High school diploma or equivalent
- Previous experience in administrative or healthcare support roles
- Basic knowledge of scheduling and payroll software
- Strong communication and interpersonal skills
- Ability to handle confidential information with discretion
- Proficiency in Microsoft Office
- Ability to multitask and prioritize
- Flexible availability including every other weekend and holiday rotation
- Ability to work collaboratively within a team environment
Job Qualifications
- Vocational school, training, or Associate's Degree
- One or more years of experience
- Previous experience working with Eldermark and Educare
- Health Unit Coordinator training
Job Duties
- Maintain nursing staffing schedule for the community
- Update master nursing schedules as needed
- Communicate staffing schedule changes
- Communicate to the Director of Health Services open blocks/positions
- Post the daily schedule in a common area/space
- Determine PPL eligibility and approve or deny based on community policy
- Determine staffing needs/open shifts
- Communicate open shifts and take necessary steps to fill shifts promptly
- Approve/deny employees’ schedule trades
- Notify Director of Health Services of status changes and permanent schedule change requests
- Document attendance/tardiness reports and notify Director of Health Services of individuals requiring disciplinary action
- Participate in on-call staffing rotation
- Assist Director of Health Services with E-Time (Payroll) for nursing department employees
- Assist Director of Health Services in tracking education compliance to ensure all documentation is in place
- Assist Director of Health Services with scheduling new employee interviews
- Assist with new hire paperwork if applicable
- Assist with new hire personnel file setup
- Coordinate new employee training on the Friday after NEO
- Enter and review completed training and report issues
- Assign annual Educare training
- Review Educare for all departments and report issues to supervisors
- Enter charges for miscellaneous services as assigned
- Ensure paperwork for long-term care insurance plans is completed and invoices are sent
- Assist with processing deposits and accounts payable
- Confirm services (audits, charges) to ensure accuracy in Eldermark
- Coordinate resident communication
- Schedule care conferences
- Maintain resident directories
- Coordinate providers who come on-site for services such as podiatry and physicians
- Assist with resident correspondence
- Provide marketing support including collecting information from prospective residents and possibly providing tours
