Job Requirements

  • High school diploma or equivalent
  • minimum 1-5 years of reception or assistant experience
  • proficiency in MS Office and Adobe Professional
  • experience in a law firm or legal environment preferred
  • strong written and verbal communication skills
  • ability to multitask and prioritize in a dynamic setting
  • excellent organizational skills
  • ability to work overtime when required

Job Qualifications

  • Minimum 1-5 years of reception and/or assistant experience preferred
  • experience in Learning & Development a plus
  • previous work experience in a law firm preferred
  • possess a positive attitude, be proactive, flexible and a team player
  • exceptional technical skills required including working knowledge of MS Office and Adobe Professional
  • must be detail oriented, with excellent grammar and spelling skills
  • skilled with use of FileSite or similar electronic document management systems
  • possess strong organizational, communication and client services abilities
  • ability to prioritize needs based on urgency, multi-task and work in a fast-paced team-orientated environment
  • ability to work overtime, when needed

Job Duties

  • Answer incoming telephone calls in a professional and courteous manner
  • timely route calls to appropriate party or take accurate telephone messages as per firm policy
  • acknowledge visitors on their arrival and announce them to respective attorneys or staff in a timely manner
  • maintain the neatness of the reception area, conference rooms and all client areas
  • maintain reservation schedule for conference rooms, visitors and other resources as instructed
  • maintain conference rooms and assist with setup for meetings as needed
  • validate client parking tickets and record visitor names in log
  • work closely with the Office Services team to help coordinate small and large office luncheons, catering needs and other in-office events as needed
  • prepare and distribute daily bulletin to Madison office
  • draft training program invitations and follow up communications
  • create, review, and summarize program evaluations
  • process attendance for Continuing Legal Education training programs
  • process check requests and reconcile expenses
  • assist in preparing, proofreading, revising and finalizing documents
  • maintain calendars, schedule travel, appointments, meetings and conferences
  • other duties and special projects as assigned
