Job Duties

  • Files records in alphabetical or numerical order or according to subject matter or other system
  • reads incoming material and sorts according to file system
  • verifies accuracy of material to be filed
  • enters information on records
  • adds new material to file records and creates new records as necessary
  • answers questions about records and files
  • assigns and records or stamps identification numbers or codes for indexing materials for filing
  • eliminates outdated or unnecessary materials by destroying or transferring them to inactive storage according to guidelines
  • finds and retrieves information from files in response to authorized requests
  • keeps records of materials filed or removed using logbooks or computers
  • performs periodic inspections of materials or files for correct placement, legibility, and condition
  • designs forms related to filing systems
  • scans or reads incoming materials to determine classification or filing
  • performs general office duties such as typing, operating office machines or online systems, and sorting mail
