Job Requirements
- Education or experience in food and beverage industry or hospitality management
- Minimum two years' related work experience preferred
- Ability to work independently and collaboratively
- Proficiency or willingness to learn Microsoft products and other software such as Momentus, Workday, Adaptive, and Google Workspace
- Strong organizational, communication, and interpersonal skills
- Ability to maintain confidentiality and exercise discretion
- Willingness to work weekends and evenings and adjust hours as required
- Physical stamina to be onsite during events and navigate multiple museum locations and grounds
- Unimpaired hearing
- Ability to travel regionally as needed
- Professional demeanor and approachability
Job Qualifications
- Experience in food and beverage industry and/or education in hospitality management or food studies
- Proven experience in project coordination and meeting deadlines in fast-paced environments
- Experience with or ability to learn specialized software including Microsoft products, Momentus, Workday, Adaptive, and Google Workspace
- Strong organizational and interpersonal skills
- Ability to work independently and within a team
- Professionalism and discretion in handling confidential information
- Minimum two years' related work experience preferred
- Experience in community engagement, arts programming, special event planning, or museum/entertainment programming preferred
- Experience working with living chefs/artists and their representatives
- Proficient in Microsoft Office applications including Word, Excel, Access, PowerPoint, Project, and One Note
- Demonstrated knowledge of current event production practices and support of residencies or equivalent experience
Job Duties
- Conduct comprehensive research on chefs, restaurants, and emerging artists to identify potential programs
- Analyze trends in the hospitality industry and compile data around audience insights to make informed recommendations
- Assist in selecting food vendors for concerts and festivals
- Coordinate communications with chefs and maintain accurate records to keep program planning on track
- Maintain and update a tracker of booked food programs aligned with the event calendars
- Ensure Microsoft Teams channels, event management software, and calendars are up to date
- Assist in organizing Food Programming projects including scheduling meetings, booking rooms, preparing agendas, and sending notes
- Monitor and document internal budgets and operational costs
- Act as Programmer-on-Site for events and provide backup to primary programmers
- Assist in planning and production of food programs such as chef's dinners, pop-ups, workshops, and collaborative projects
- Manage program submissions across management platforms
- Coordinate logistics, venue space, production, and facilitation of activities on and off site
- Collaborate with programming and hospitality teams to manage workflow and coordination
- Work cooperatively with other departments to improve delivery of food programs
- Participate in brainstorming sessions to innovate and improve food offerings
- Answer inquiries professionally and promptly
- Ensure all inter-departmental communications are clear and documented
- Provide suggestions to improve processes and keep projects on track
- Help foster team creativity, collegiality, timeliness, and mutual respect
- Generate solutions to emerging challenges
- Assist in managing interns and volunteers
- Perform other duties as assigned
