Job Qualifications

  • High school diploma or equivalent
  • Proven experience as a front office assistant receptionist or in a similar administrative role
  • Excellent communication and interpersonal skills with a strong customer service orientation
  • Proficiency in Microsoft Office Suite including Word Excel Outlook
  • Strong organizational skills and ability to prioritize tasks in a fast-paced environment
  • Attention to detail and problem-solving skills particularly in handling client inquiries
  • Ability to work independently and as part of a team demonstrating a proactive approach to tasks

Job Duties

  • Greet and assist visitors and clients upon arrival ensuring a positive first impression
  • Manage incoming phone calls directing them to appropriate personnel or taking messages
  • Handle incoming and outgoing mail and packages ensuring timely distribution and processing
  • Maintain an organized and welcoming front office space including managing reception area and meeting rooms
  • Schedule and coordinate appointments and meetings ensuring efficient use of time and resources
  • Assist with administrative tasks such as filing data entry and document preparation
  • Support team members with various projects and tasks to ensure smooth office operations
