Job Requirements

  • High school diploma or equivalent
  • Minimum 1 year of experience as a medical receptionist preferred
  • Experience in occupational medicine or workers compensation strongly preferred
  • Exceptional customer service and interpersonal skills
  • Strong multitasking and time-management abilities
  • Professional phone etiquette and communication skills
  • High attention to detail and accuracy
  • Strong organizational and problem-solving skills
  • Ability to work independently and collaboratively
  • Proficiency with basic computer systems, scheduling software, and word processing
  • Flexibility and adaptability to changing priorities
  • Bilingual (Spanish preferred)

Job Duties

  • Greet and check in patients, employers, and visitors in a courteous and professional manner, in person and by phone
  • Answer, screen, and route incoming calls
  • respond to patient and employer inquiries or direct them appropriately
  • Schedule and manage patient appointments efficiently to optimize provider time and clinic flow
  • Notify clinical staff of patient arrivals and communicate delays or schedule changes as needed
  • Maintain a clean, organized, and welcoming reception area
  • Collect, verify, and update patient demographic, insurance, and financial information
  • Ensure accurate filing, retrieval, and confidentiality of medical records and documentation
  • Monitor clinic supplies and front office inventory
  • anticipate needs and coordinate ordering and receipt
  • Follow clinic policies, procedures, and compliance standards, including HIPAA confidentiality requirements
  • Assist with administrative and operational tasks as assigned to support clinic efficiency
  • Collaborate with clinical and administrative staff to support patient care and overall team success
