Job Requirements

  • High school diploma or equivalent
  • Previous experience in a receptionist or office administration role preferred
  • Proficiency with Microsoft Office Suite and Google Workspace
  • Ability to handle multi-line phone systems
  • Basic knowledge of bookkeeping software such as QuickBooks preferred
  • Excellent communication skills both verbal and written
  • Positive attitude and strong customer service orientation
  • Ability to multitask and stay organized in a fast-paced environment
  • Availability to work in person during business hours

Job Qualifications

  • Strong computer literacy with proficiency in Microsoft Office Suite Word Excel Outlook and Google Workspace applications
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Previous office management or clerical experience demonstrating attention to detail and reliability
  • Exceptional phone etiquette with experience handling multi-line phone systems confidently
  • Bilingual abilities are highly valued to assist diverse client needs and enhance communication
  • Experience in medical or dental receptionist roles is a plus including calendar management and patient data entry
  • Knowledge of bookkeeping software such as QuickBooks along with general office skills like filing proofreading and data entry
  • Strong time management skills to prioritize tasks efficiently while maintaining professionalism at all times

Job Duties

  • Greet visitors warmly assist with check-in procedures and direct them appropriately within the office
  • Answer multi-line phone systems promptly professionally and courteously directing calls or taking messages as needed
  • Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools
  • Handle incoming correspondence including emails mail and packages ensuring timely distribution and follow-up
  • Maintain organized filing systems data entry records and office supplies inventory with accuracy and attention to detail
  • Support administrative tasks such as proofreading documents managing appointments and performing basic bookkeeping using QuickBooks or similar software
  • Provide exceptional customer support by addressing inquiries efficiently and maintaining a friendly demeanor at all times
