Job Requirements

  • High school diploma or equivalent
  • Minimum 2 years of relevant office experience
  • Proficiency in Microsoft Office suite
  • Ability to multitask in a fast-paced environment
  • Excellent communication skills
  • Strong organizational and time management abilities
  • Physical ability to occasionally move packages up to 40lbs
  • Ability to maintain confidentiality
  • Availability to work full-time on-site Monday through Friday
  • Professional demeanor and interaction skills

Job Qualifications

  • High school graduate
  • Associate's degree preferred but not required
  • Excellent written and verbal communication skills
  • 2+ years of professional experience in an office environment including business email usage
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • Experience working in a fast-paced environment with ability to multitask and prioritize
  • High attention to detail and meeting deadlines
  • Team-oriented, self-motivated, and energetic
  • Strong analytical and problem-solving skills
  • Professionalism and ability to interact effectively with all levels of management and external parties
  • Ability to maintain confidentiality of data and information

Job Duties

  • Greet visitors warmly in the reception area, ensure guests are comfortable and sign in upon entry
  • direct visitors to their designated workspace if needed
  • maintain conference room schedules and assist employees with finding space for meetings using Outlook and DeskBird
  • confirm conference rooms are clean and ready for meetings
  • answer telephones, transfer calls, take, and forward messages
  • assist HR in preparing and distributing external onboarding schedules for new hires, ensuring accuracy and timeliness
  • collect and forward HR-related state mail to HR Operations and reroute employment verification calls
  • maintain an organized and fully stocked breakroom and coffee stations, checking supplies throughout the day and reorder as needed
  • partner with the Office Manager to coordinate meeting logistics, including food and beverage orders
  • provide proactive support to meeting facilitators and guests, including validating parking and ensuring a positive visitor experience
  • collect and distribute daily incoming mail
  • maintain office supply inventory and order replenishments
  • fill paper trays on copy and fax machines and communicate with vendors for supplies or repairs
  • process company business card orders and ship cards to employees
  • receive, log, and distribute packages
  • process outgoing shipments of documents and packages
  • maintain a log for key box in the supply room
  • update and communicate the employee telephone listing
  • organize storage room and supplies cabinets
  • perform other office-related activities as needed to ensure smooth operations
  • handle additional responsibilities as assigned
