We are currently seeking a Freelance Event Specialist to join our dynamic team. This is a contract-based, hands-on role that is ideal for an experienced professional who thrives in managing logistical details of live events. Located in or near Provo, UT, the candidate will be responsible for onsite event execution for corporate clients, ensuring each event runs smoothly and leaves a lasting, positive impression. This role requires a strong entrepreneurial spirit, a passion for live event management, and a genuine commitment to supporting social impact causes.

The Freelance Event Specialist will collaborate closely with the Visit.org team, corporate clients, nonprofit partners, and venue staff to deliver engaging and impactful event experiences. Responsibilities include attending virtual planning meetings, day-of event coordination, overseeing setup and tear down, managing guest check-ins, problem-solving onsite issues, and ensuring high-quality event delivery. The Specialist must be organized, resourceful, and capable of handling multiple tasks in fast-paced and sometimes ambiguous situations. Effective communication and customer service skills are essential, as the role involves interaction with large crowds and diverse stakeholders.

Flexibility in scheduling, including nights and weekends, and willingness to travel locally are important for success in this role. Job Requirements

  • Based in Provo, UT
  • Schedule flexibility with availability to work on a contract per-event basis
  • Able to lift, slide, and carry up to 30 lbs
  • Able to stand for an extended period of time

Job Qualifications

  • Fluency in English and strong communication skills
  • Experience in complex, large-scale events and smaller executive-level intimate events
  • Shown experience in executing events at the highest level and continuously raising the bar on content and customer experience
  • Resourcefulness and ability to exhibit grace under pressure
  • Solutions-minded with ability to problem-solve on the fly
  • Self-starter who is organized and detail-oriented
  • Ability to build relationships with customers and strong customer service skills
  • Experience with group facilitation and managing group dynamics
  • Ability to work flexible hours including nights and weekends
  • Willing and eager to travel locally
  • Strong interpersonal skills, especially in fast-paced situations
  • Ability to wear many hats and take on varied tasks and projects
  • Comfortable interacting with large crowds

Job Duties

  • Join virtual planning meetings ahead of each event with all parties
  • Take ownership and responsibility of our in-person events including setup, alignment with on-site team, tear down, and cleaning
  • Be the Visit.org representative and problem solver at events
  • Align roles and responsibilities with onsite team including event host, nonprofit organization, venue, additional staff, and corporate partner
  • Manage check-in process for in-person events providing a warm and friendly welcome to guests
  • Problem-solve onsite issues such as missing supplies, late staff, technology challenges
  • Escalate issues to Events Team when necessary and send consistent updates including photos and videos
  • Break down and clean the site after event and repackage and ship all materials back to distribution center
