Job Requirements

  • 5+ years of professional hospitality experience in hotel group or catering sales, convention services, or collegiate conference and events industry
  • Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production
  • Demonstrated organizational and project management skills to work successfully with clients to produce high-quality events
  • Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions
  • Highly developed interpersonal communication skills including political acumen and social perceptiveness
  • Ability to give clear directives and use independent, rational judgment when making decisions and managing events
  • Proficient skill using standard business software e.g. Microsoft Office Suite and hospitality sales software e.g. Delphi
  • Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities
  • Skill in writing grammatically correct business English, such as conference proposals, memos, and other routine correspondence
  • Sufficient knowledge of University accounting forms and procedures to accomplish standard departmental accounting transactions (preferred)
  • Working knowledge of the policies and procedures of Housing & Hospitality operational units, such as the Food & Beverage department (preferred)
  • Background check
  • Live Scan background check must be completed prior to employment
  • Candidate(s) must be 18 years or older to be eligible to be hired
  • Position is subject to California DMV Pull Notice System and continued employment contingent upon proof of satisfactory driving record
  • Must carry a University cell phone
  • Occasional attendance at offsite conferences and meetings
  • Evening, weekend, and holiday work as business dictates
  • Drive University vehicles such as electric carts for meetings, site inspections, etc.
  • 5% domestic travel

Job Duties

  • Provide professional meeting and planning guidance to UCLA community
  • Collaborate with Housing & Hospitality units to support revenue generation
  • Lead on-site client visits and develop event proposals
  • Act as day-of manager for catered events and group check-ins
  • Maintain organized records and coordinate group needs during events
  • Distribute client details to internal and external stakeholders
  • Assist Accounting Department with billing, purchasing, and account reconciliation
