Job Requirements

  • A bachelor’s degree or high school diploma with four years of appropriate experience
  • appropriate college coursework may substitute at an equivalent rate for required experience
  • ability to communicate effectively and professionally
  • proven skills in event coordination and logistics
  • capability to manage budgets and vendor relationships
  • experience working in educational or healthcare event settings preferred

Job Qualifications

  • Bachelor’s degree or high school diploma with four years of appropriate experience
  • relevant college coursework may substitute experience
  • preferred degree in hospitality or tourism
  • preferred certifications such as CMP
  • preferred event planning or project management experience
  • demonstrated ability to manage multiple complex events
  • strong organizational and communication skills
  • capability to negotiate with vendors
  • proficient with budget tracking and financial documentation
  • ability to work independently and maintain confidentiality

Job Duties

  • Serve as secondary contact for all Office of Educational Affairs major events and approved student-led activities
  • coordinate with Event Manager to plan and execute events including meetings and conferences
  • evaluate, select, and coordinate services such as accommodations, transportation, facilities, audiovisual equipment, catering, signage, and security
  • lead on-site event coordination to ensure participant satisfaction and event success
  • communicate professionally and timely with internal and external stakeholders to maintain relationships
  • maintain and update event documents, policies, procedures, and feedback ensuring accuracy in the event database
  • design and develop event programs, agendas, invitations, and related materials
  • evaluate, review, negotiate, and manage contracts and services
  • track and inventory event equipment
  • provide guidance on event policies and procedures
  • track and monitor event budgets and expenses
  • negotiate pricing and terms with vendors
  • review and track event-related invoices
  • complete vendor setup and respond to inquiries
  • arrange and reconcile speaker travel and miscellaneous expenses
