Job Requirements

  • College degree or equivalent experience
  • Minimum 2-3 years of meetings industry operations experience
  • Knowledge of virtual and hybrid events
  • Excellent communication skills
  • Proven project management success
  • Ability to work under pressure and meet deadlines
  • Experience with virtual office environments preferred
  • Familiarity with life sciences event operations preferred
  • Proficiency in Microsoft Office
  • Experience with Cvent or similar event software

  • Proficient in Microsoft Office (Outlook, Excel, OneNote, Word, PowerPoint)
  • Experienced with event database management programs like Cvent

Job Duties

  • Project management with consultative approach for virtual, hybrid or in person meetings
  • Client, financial, and vendor management
  • Onsite services and leading onsite teams
  • Manage multiple projects on tight timelines
  • Follow all client mandated SOPs
  • Digital producer and/or tech support for own events
  • Work with Procurement to source and secure event space and guestrooms
  • Understand, review and monitor contract terms and guest room blocks
  • Profile management in event software such as Cvent
  • Create and manage event resumes, specification sheets, and timelines
  • Guide clients on event website development and reporting
  • Collaborate on attendee communications and housing inquiries
  • Coordinate airline booking with travel management company
  • Work with mobile app team to create event apps
  • BEO review and execution
  • Schedule required ground transportation with preferred vendors
  • Create and distribute travel letters and departure notices
  • Budget creation and management
  • Manage all event-related payment requests and processing
  • Audit and reconcile vendor invoices
  • Develop cost savings worksheets
  • Manage final invoice documentation
  • Reconciliation management including estimated and final invoices
  • Create and manage Onsite Emergency Preparedness Plans
