Job Requirements
- A bachelor's degree in an appropriate area of specialization and three years of appropriate experience
- or a high school diploma and seven years of appropriate experience
- Appropriate college course work may substitute at an equivalent rate for the required experience
- Demonstrated ability to manage guest services and event logistics
- Strong communication and organizational skills
- Proficiency with event and office management software
- Ability to supervise staff and lead teams
- Experience with billing, invoicing, and financial record-keeping
- Capability to handle multiple projects and high-volume work
- Ability to provide on-site event management
- Willingness to serve in after-hours on-call rotation
- Knowledge of applicable rules, regulations, policies, and procedures
Job Qualifications
- Bachelor's degree in an appropriate area of specialization or equivalent experience
- Three years of experience in conference service operations, event management, or hospitality management
- Knowledge of occupancy management and multi-reservation handling
- Proficiency in event planning, logistics, and on-site event management
- Familiarity with UF campus facilities and reservation policies
- Strong written and verbal communication skills
- Demonstrated customer service experience
- Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook
- Experience with event management software
- Ability to supervise and lead student staff effectively
- Strong organizational skills and ability to manage multiple tasks
- Ability to work collaboratively with teams, clients, and vendors
- Capability to handle high-volume detailed work with accuracy
- Ability to function effectively in fast-paced environments
- Knowledge of policies and procedures related to event and housing management
Job Duties
- Manage guest and intern housing operations including reservations, check-in/out, and payment collection
- Prepare materials and coordinate pre/post reservation activities and client needs
- Organize and conduct space tours and site visits
- Survey apartments/housing for inventory of supplies and furnishings
- Coordinate supply orders and space turnovers with internal units
- Manage occupancy for reservable spaces including summer occupancy
- Ensure compliance with UF policies for youth programs and conferences
- Oversee event reservation workflows, logistics, and client services
- Conduct space inventory and maintain equipment and furnishings
- Coordinate billing and payment processing for events and spaces
- Provide on-site event management ensuring policy compliance and safety
- Use computer software for event services, occupancy management, and invoicing
- Communicate with clients on bookings, documents, and agreements
- Manage billing, vendor payments, and dispute resolution
- Maintain records of occupancy, finances, and reports
- Collaborate with marketing for communication materials
- Participate in after-hours on-call rotation for emergencies
- Lead and supervise student staff including training, scheduling, and performance
- Implement policies for event staff quality and safety
- Serve on university committees and handle special projects
