Job Requirements

- Proven customer service experience

Job Qualifications
- High School degree or GED
- Proven customer service experience and skills
- Proficiency in computer skills, including Microsoft Office (Windows, Outlook, Excel) and Sunrise applications
- Ability to learn new software applications quickly
- Effective communication skills, both verbal and written
- Strong organizational, time management, and follow-through skills
- Accurate record-keeping abilities
- Good judgment, problem-solving, and decision-making skills
Job Duties
- Oversee the community entry area for visitors, guests, and residents, extend a warm welcome and greeting, offer and provide beverages to visitors and guests, and ensure community safety protocols are in place
- Contact the Director of Sales, Executive Director, or Department Coordinator to meet with prospective residents, families, or visitors and ensure wait times are minimal
- Greet potential career candidates and direct them to apply online or capture their information into the Applicant Tracking System
- Answer incoming telephone calls and resident calls promptly with appropriate greeting and identification
- Take complete messages and communicate them to intended recipients
- Offer community overviews to callers and direct them accordingly
- Manage appointments for residents and family members
- Send get well cards to residents in hospital and sympathy cards to families
- Order Memory Flowers for deceased residents
- Order flowers and name plates for new residents
- Order guest meals for residents and families on move-in days
- Maintain marketing and move-in packet inventory
- Support the Director of Sales with customer relationship management and lead tracking
- Perform administrative duties related to resident move-in
- Keep front desk and entry area clean and organized
- Maintain the Bistro cleanliness and stocked refreshments
- Play music throughout the day
- Ensure coverage for front desk when away
- Comply with occupational health and safety regulations
- Practice safety procedures including PPE, fire extinguishers, and SDS
- Maintain resident and team member rosters and schedules for emergencies
- Champion the Safe Leaving Program
- Respond to emergencies per policies
- Manage visitor sign-in and sign-out
- Maintain high-risk elopement list
- Maintain resident phone list and registries
- Prepare and tally meal tickets
- Handle meal ticket money following control procedures
- Organize and distribute mail and newspapers
- Post daily menus
- Maintain resident credits
- Assist with recruitment data entry and administrative support
- Monitor and order office supplies
- Track and disperse team member paychecks
- Participate actively in team engagement and training
- Attend meetings and maintain compliance with required training
- Perform other duties as assigned
