Job Requirements
- Two years of experience in administrative support including use of office software, email, word processing
- proficient in Microsoft Office Suite
- knowledge of proper grammar, punctuation, and spelling
- excellent communication skills
- ability to organize and prioritize work
- certification or associate degree substitutes for experience
- ability to handle customer service tasks
- ability to maintain filing systems
- ability to manage training-related administrative tasks
- capacity to work with diverse populations
- ability to use office equipment and manage mail services
- ability to work under minimal supervision
Job Qualifications
- Two years of experience in administrative support including office software use, customer service, business writing, and office administration
- proficient in Microsoft Office Suite
- knowledge of proper grammar, punctuation, and spelling
- excellent communication skills
- commitment to high quality customer service
- ability to organize and prioritize work
- certification such as IAAP Certified Administrative Professional or associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience
- ability to work collaboratively in a team environment

- experience with electronic record keeping
Job Duties
- Act as primary front-desk receptionist
- provide access to office
- meet and greet all visitors
- direct visitors as necessary
- provide extensive phone coverage via agency main phone line in a courteous manner
- handle routine issues
- resolve problems
- make appropriate referrals to staff
- provide administrative support for online learning and webinar training
- maintain internal meeting room calendars and assign rooms for outside use
- respond to requests for information from employees, agency staff, and union representatives
- reserve training sites
- arrange classroom space, equipment, parking, and accommodations
- screen course applications
- enter applicant information into registration database
- schedule applicants for training
- generate class rosters and course notification letters
- prepare course packets and training materials
- oversee delivery to sites
- enter attendance information
- assist program staff with consultant and training site issues
- inventory course materials and reorder as needed
- maintain electronic and paper filing systems
- initiate digitization of paper files
- process incoming and outgoing mail
- serve as liaison from Support Services Team to program areas
- perform other duties as assigned
