Job Description

The North Botanical Garden (NBG) is a renowned public garden dedicated to enhancing the community's experience with nature, education, and conservation through its wide array of horticultural exhibits and programs. The Visitor Services & Membership Coordinator at NBG is a full-time position requiring approximately 40 hours per week, classified as non-exempt under the Fair Labor Standards Act (FLSA). This role is integral to ensuring an exemplary membership experience, supporting both the administrative and operational aspects of the membership program. Reporting directly to the Membership Manager, the coordinator will undertake a variety of tasks including handling membership transactions like new enrollments, renewals, upgrades, and gift memberships. Maintaining accurate records and performing regular audits ensures that member data is reliable and communications are timely and relevant.

This role requires a proactive and detail-oriented individual who thrives in a fast-paced environment and can work efficiently both independently and collaboratively within a team. The position includes direct interaction with visitors and membership inquiries, necessitating excellent communication skills and a professional demeanor. The coordinator will be involved in training Visitor Services staff on membership policies and software, helping to streamline processes and promote membership benefits. This team member also plays a supervisory role during designated evenings, weekends, and major Garden events like the Dominion Garden of Lights, ensuring smooth operations and guest satisfaction.

Additional responsibilities include collaborating with marketing and development teams to support membership campaigns, handling guest concerns related to memberships, restocking membership materials, and providing front desk assistance during peak times or staff absences. The physical demands of the job vary from office-based tasks such as computer work and phone communication to outdoor activities in a range of weather conditions. The candidate must be able to drive a golf cart and occasionally stand for extended periods.

Job Requirements

  • High school diploma or equivalent
  • Prior experience in customer service
  • Ability to work flexible hours including evenings, weekends, and holidays
  • Proficiency with membership or CRM software preferred
  • Ability to drive a golf cart
  • Strong organizational and multitasking skills
  • Ability to sit for long periods and stand as needed

Job Qualifications

  • Valid driver’s license
  • Prior experience in a garden guide role preferred
  • High school diploma or equivalent preferred
  • Previous experience in customer service
  • Previous experience in cash handling
  • Ability to work independently and as part of a team
  • Strong communication and interpersonal skills
  • Comfortable working in varying weather conditions

Job Duties

  • Assist the Membership Manager with timely and accurate processing of membership transactions including new memberships, renewals, upgrades, gifts, and communications
  • Maintain and audit membership records for accuracy and completeness
  • Support training efforts for Visitor Services staff on membership policies, procedures, and software
  • Provide day-to-day assistance to Visitor Services staff in promoting memberships and processing transactions
  • Collaborate with Marketing and Development teams to support membership promotions and campaigns
  • Resolve guest service concerns related to memberships including lost cards, billing issues, and inquiries
  • Compile and prepare reports for review by leadership
  • Monitor and restock membership materials
  • Provide front desk assistance during peak periods or staff absences
  • Act as acting department supervisor during designated evenings or weekends
  • Serve as second supervisor for major Garden events
  • Assist with Garden-wide special events and other duties as assigned
