Job Requirements

- Responsible Alcohol Awareness Training certification or equivalent required
- Working knowledge of Microsoft Word, Excel, and Outlook Calendar required
- Experience with database management required
- Skilled in guest relations and phone etiquette required
- Ability to prioritize and manage multiple tasks required
- Ability to maintain a flexible work schedule required
- Tolerance for diverse cultures, music and art forms required
- Preferred 2 years work experience in a high volume environment

Job Duties
- Provide administrative assistance to Foundation Room Sales Managers and Logistics Managers
- Perform Membership Concierge duties in their absence
- Handle incoming calls for the Foundation Sales Office
- Offer additional concierge services including hotel and dinner reservations, club access, and show tickets
- Maintain and produce accurate Daily Access List
- Confirm nightly dinner reservations
- Email members confirmation of ticket orders
- Handle ClubCorp Reservations
- Assist Senior Foundation Sales Manager with member calls to promote events
- Communicate venue closings to members and related venues
- Create and manage monthly Member newsletter
- Assist membership sales team with mailings and invites
- Attend weekly Sales and Operations Meetings and local trade shows
- Participate in weekly Foundation Meetings for member engagement initiatives
- Mail membership cards and welcome packages
- Assemble sales kit packets and maintain inventory
- Coordinate dinner vouchers for members
- Manage sales collateral and Foundation menus inventory
- Handle small special events for Foundation members
- Block and reconcile special event spaces
- Manage accounting, invoicing and ensure collection of monies for events
- Attend SEO Meetings related to events
- Distribute event information packets and proposals
- Oversee event execution with sales and operations team
- Track RSVPs and maintain communication with key stakeholders
- Ensure distribution of special event orders
- Create cost analysis sheets for programming events
- Conduct promotional calls to members
- Gather member data for future event planning
- Send electronic promotions for member events with marketing assistance
