Job Requirements
- Must possess work authorization valid for employment in the U.S. without visa sponsorship
- Ability to tolerate loud noise levels and busy environments
- Willingness to work evening and weekend hours as required
- Willingness and ability to travel extensively both domestically and abroad
- Must be able to continuously stand or walk and perform physical activities including bending, squatting, climbing stairs, lifting up to 20 pounds occasionally
- Ability to work in drastic temperature climates
- Ability to walk on slippery or uneven surfaces occasionally
- Ability to maintain strict confidentiality and exercise discretion regarding sensitive company information and relationships
Job Qualifications
- Minimum of 10+ years of progressive experience in event operations or production management within entertainment, hospitality, or live events industries
- Proven track record managing large-scale events from concept to execution delivering exceptional attendee experiences and financial targets
- Strong leadership with experience developing high-performing teams promoting accountability and collaboration
- Excellent organizational, problem-solving, and decision-making skills
- Exceptional interpersonal and communication skills with ability to influence stakeholders at all levels
- Proficiency in event management software and financial management systems
- Proficiency with spreadsheets, Google Suite, Airtable, and Asana
- Motivated self-starter with an 'Everything is possible' attitude
- Active problem solver with a sense of urgency to complete projects
Job Duties
- Lead, mentor, and inspire a team of project managers, program managers, and operations professionals
- Provide strategic direction to the operations team ensuring alignment with Vibee’s goals and brand standards
- Oversee end-to-end operational management of destination experiences from concept to post-mortem
- Translate creative and commercial concepts into actionable operating plans, schedules, and RACI matrices
- Develop comprehensive project plans and workflows with clear milestones and deliverables
- Serve as the authoritative production lead on assigned programs
- Assess and challenge vendor quotes and scopes driving competitive bids and value engineering
- Collaborate with CAD designers on site plans and event layouts
- Manage event capacities and crowd flow modeling ensuring guest comfort and safety
- Create and issue Operations and Emergency Action Plans ensuring staff training and drills
- Oversee life’safety infrastructure including medical, security, fire/life safety coordination and incident command
- Expand team efficiencies and generate contractor and vendor partnerships
- Partner with the Talent Buyer and Finance to finalize and manage budgets
- Serve as the primary venue point of contact for operational and production matters
- Oversee and secure special permits required for events
- Maintain 24/7 operational readiness during critical windows
- Drive continuous improvement initiatives using data and post-show learnings
- Serve as the primary operational liaison to internal leaders, external partners, sponsors, and clients
- Oversee comprehensive event P&Ls and financial reporting with actionable insights
