Job Requirements

  • High school diploma or equivalent
  • Prior experience in a customer service or administrative role
  • Strong communication skills both verbal and written
  • Ability to multitask in a fast-paced environment
  • Availability to work rotational weekends and holidays
  • Ability to operate multi-line phone systems and basic computer software
  • Positive attitude and strong organizational skills

  • Computer literacy including keyboarding and communication tools such as email and internet
  • Working knowledge of veterinary terminology including pronunciation, spelling, and meaning
  • Excellent spelling and grammar skills
  • Ability to handle varied and sometimes difficult emotional conditions

  • Ability to conduct oneself confidently, calmly, and professionally under stress
  • Genuine liking for animals and those who care for them
  • Experience in customer service or veterinary reception preferred

Job Duties

  • Greet clients and pets by name with a smile and a positive, solution-oriented attitude
  • Answer phones promptly and professionally using a multi-line phone system
  • Schedule appointments and surgeries according to hospital scheduling guidelines
  • Enter accurate charges and explain invoices to clients before checkout
  • Collect payment including cash, credit cards, and checks with proper identification
  • Verify client eligibility with charge accounts
  • Maintain and update medical and computer records including client contact information and scanned documents
