Job Requirements
- Bachelor's degree in business, hospitality or related field
- 6 years experience venue sourcing and event planning
- strong negotiation skills
- understanding of event budgeting, forecasting and reporting
- experience with venue and vendor contracting
- data collection and data management skills
- general awareness of data privacy regulations

- 5+ years experience in conference logistics role for 250-6000 attendees with an association or corporation
- 5+ years experience with Microsoft Office Suite at intermediate to advanced level
- 3+ years experience sourcing, negotiating and contracting hotels and venues
- 1 year experience building/managing room blocks in Passkey or equivalent (Cvent certification may be accepted)

Job Duties
- Manage logistical aspects of assigned conventions/meetings/events including pre-planning, on-site execution and post event wrap up
- collaborate with event management to select venues based on predetermined criteria
- negotiate terms and conditions with venues while working with Procurement and Legal
- facilitate contract and procurement processes
- develop event budgets with Event Manager
- liaise with legal, finance, and procurement for contracting, payments, accruals, negotiations and cost reductions
- monitor Engineering Event room blocks and manage contractual obligations
- establish housing lists for vendors, VIPs, speakers and staff
- provide reports and projections for housing
- manage VIP and staff rooming lists and allocation
- develop and manage relationships with national sales representatives for hotel brands and convention centers
- assist with exhibitor and sponsor deliverables including building exhibitor kits, email confirmations, registration monitoring and report generation
