Job Requirements

  • 10 years’ experience in event management strategic and tactical
  • supreme organizational skills and attention to details
  • a passion for creating engaging experiences that surprise and delight
  • PowerPoint presentation building skills
  • budgeting and timeline management experience
  • strong written and oral communication
  • ability to partner cross-functionally building healthy relationships across an organization
  • a proven problem-solver who can identify the root cause of challenge and proactively work to solve
  • experience in the media industry a plus
  • ability to travel to assigned events

Job Qualifications

  • Bachelor’s degree in Communications, Hospitality, Business, or related field
  • 3 years’ experience in communications, project management, event management, or relevant area OR 5 years’ experience in these fields
  • 2 years’ supervisory experience or leading cross-functional teams
  • Proven problem-solving skills
  • Strong written and oral communication skills
  • PowerPoint presentation building skills
  • Budgeting and timeline management experience
  • Ability to partner cross-functionally and build relationships
  • Experience in the media industry a plus
  • Event planning and live audio/video production preferred

Job Duties

  • Own end-to-end logistical execution for annual event roster assigned by Head of Events
  • Design event activations to drive and measure business objectives
  • Create and drive event planning timelines including kick-off meetings, briefings with marketing strategists, brand managers, and creative teams
  • Cultivate key relationships aligning multiple stakeholders around event vision
  • Work with event content manager to execute customer-facing communications like invitations, agendas, onsite collateral, and signage
  • Engage Corporate Communications for thought leadership, panels, and presentations
  • Collaborate with Brand Strategy on all branding and design elements
  • Maintain always-up-to-date master PowerPoint presentations outlining event details
  • Present plans to stakeholders and leadership for alignment and approvals
  • Execute venue sourcing, site visits, and selection
  • Evaluate vendor services and venues, communicate recommendations and gain buy-in
  • Negotiate contracts for hotels, venues, vendors including food and beverage, audio-visual elements
  • Manage registration and list management including invitees, attendee management, rooming lists, name badges
  • Act as on-site captain to direct vendors, support attendees, greet guests, and troubleshoot in real time
  • Create post event follow-ups and surveys to measure and document success
  • Manage event budget, invoice payments, and post-event reconciliation
  • Learn from each activation and recommend improvements and efficiencies
  • Act in accordance with Walmart values and everyday low-cost ethos
