The University Events Department plays a crucial role in the vibrant campus life by coordinating a wide range of university-wide events, external events, and summer camps. Job Requirements

  • Bachelor’s degree preferably in hospitality and/or event planning
  • Two years of related experience or equivalent combination of experience, education, and training
  • Strong customer service skills in verbal and written communication
  • Detail-oriented
  • Ability to be a team player
  • Ability to lift 30lbs
  • Ability to stand for extended periods
  • Ability to walk long distances
  • Ability to work weekends and nights with agreed-upon flex scheduling
  • Ability to work remotely two days per week

Job Qualifications

  • Bachelor’s degree preferably in hospitality and/or event planning
  • Two years of related experience or an equivalent combination of experience, education, and training
  • Strong customer service skills
  • Excellent verbal and written communication skills
  • Ability to work collaboratively with university employees including faculty, students, and administrators
  • Ability to work in a high-volume, fast-paced, deadline-oriented environment
  • Proficiency with Microsoft Office programs
  • Strict attention to detail
  • Ability to develop rapport with colleagues

Job Duties

  • Answer department phone and manage University Events department emails
  • Manage the University Events Department Calendar
  • Handle event paperwork including invoices, event timelines, and floor plans
  • Maintain accurate event records and databases
  • Manage inventory closet
  • Interface with external clients
  • Act as liaison between clients, vendors, and internal teams
  • Respond to external client inquiries promptly
  • Prepare and distribute event-related materials such as work orders, banquet event orders, event reports, and event guides
  • Conduct pre-event site/university tours with potential clients
  • Lead weekly events meetings with other departments
  • Provide welcome letters to summer camps
  • Communicate purchasing needs to the University Events Director
  • Check event setups by facilities department and dismantle event spaces including decor and equipment
  • Provide customer service to internal and external constituents
  • Provide on-site support during events as needed
  • Assist with large-scale campus events such as Commencement, Orientation Weekend, and Alumni Weekend
  • Maintain a positive and collaborative work environment
  • Provide audio/visual support to events
  • Serve as team lead/shift leader for student workers in the absence of director and coordinator
  • Address unforeseen event issues
  • Implement solutions to ensure event success
  • Inform University Events Director of event issues
  • Perform other duties as required by management
