Job Requirements

  • Must possess and maintain a valid driver's license
  • must be able to operate office equipment including computer, printer, typewriter, copy and facsimile machines, and telephone

Job Qualifications

  • Bachelor's degree in Public Relations, Marketing, Business Administration, Public Administration, or related field preferred
  • three years of experience in event planning, coordination, venue management, or related field required
  • valid driver's license
  • ability to supervise and evaluate staff
  • knowledge of applicable safety policies and regulations
  • strong interpersonal and communication skills
  • experience in budget preparation and fiscal management
  • ability to coordinate with multiple stakeholders

Job Duties

  • Ensure supervisors and staff follow all city safety policies and have proper personal protective equipment
  • manage and operate the Tuscaloosa Amphitheater and other city-hosted events
  • act as a liaison between external vendors, city contractors, and internal departments
  • enforce public safety regulations
  • coordinate rental agreements and assess event costs
  • oversee event staff coverage and serve as liaison between city and public
  • supervise, evaluate, and counsel assigned staff
  • assist in venue and event budget preparation and monitor expenditures
  • coordinate resources with subcontractors and vendors
  • produce city-sponsored events and act as community resource
  • research new events for cost effectiveness and resource availability
  • assist with risk management, financial controls, and show settlements
  • manage internship programs and partnerships with educational institutions
  • coordinate with facility managers and serve as point of contact for private event bookings
  • maintain administrative records and reports
  • stay current on applicable laws and professional practices
  • plan and supervise venue renovation projects
  • remain on call during events and ensure preventative maintenance
  • conduct safety inspections and recommend capital improvements
  • enforce event and venue policies
  • respond to emergencies and patron issues during events
  • coordinate with event directors on scheduling and venue promotion
  • maintain positive vendor relationships and resolve issues
  • communicate effectively with city officials, employees, and the public
  • develop marketing materials and assist with social media
  • conduct post-event debriefings to improve processes
  • work flexible schedules including evenings, weekends, and holidays as needed
  • serve as severe weather emergency team coordinator and primary contact for hazardous conditions
  • review performer contracts to ensure compliance
  • manage show-day operations and staff coordination
  • prepare venue maps and seating arrangements
  • communicate event logistics with performers
  • oversee planning and operation of seasonal events like Holidays on the Plaza
  • manage mechanical equipment related to events
  • approve staff timecards and conduct performance appraisals
  • plan and coordinate artistic lineups for various festivals
  • liaise with VIP sponsors and manage event logistics
  • represent city in public relations and community liaison roles
  • ensure adequate parking, medical, and security coverage for events
  • assist city departments with event planning and scheduling
  • maintain ongoing communication with stakeholders involved in events
  • meet regular attendance requirements and maintain good interpersonal relationships
