Job Requirements

  • U.S. citizenship required
  • Must hold or be able to obtain SECRET level government security clearance
  • Undergraduate degree with 1-3 years of relevant experience or 5-7 years of administrative or travel experience without degree
  • Skill and functional knowledge of E2 Travel Solutions (training provided)
  • Working knowledge of Federal Travel Regulations
  • Ability to communicate effectively both orally and in writing
  • Ability to establish and maintain positive relationships with service providers and clients
  • Ability to provide excellent customer service
  • Expertise in travel industry dealings including remote and isolated areas
  • Strong multitasking and organizational abilities
  • Ability to work in a fast-paced, high-volume environment

Job Qualifications

  • Undergraduate degree preferred
  • 1-3 years of administrative or travel experience preferred
  • Strong knowledge of Federal Travel Regulations
  • Skilled in communication both oral and written
  • Proven ability to maintain positive relationships with service providers and clients

  • Experience in handling complex travel logistics

Job Duties

  • Manages travel arrangements for division staff including senior leadership
  • Prepares travel authorizations in accordance with Federal Travel Regulations and E2 Solutions travel system
  • Reviews travel authorizations to certify availability of funds per appropriation law
  • Serves as assistant liaison on transportation policy matters and regulatory updates
  • Resolves issues related to preparation, processing, and approval of travel expenditures
  • Assists in annual operational budget preparation and coordinates funding sources
  • Obtains diplomatic and official passports for personnel and coordinates visa issuance with host-country embassies
  • Secures required clearances and submits electronic country clearance requests
  • Drafts and manages travel voucher processing
  • Conducts in and out-processing for division personnel including workspace and facility access assignments
  • Maintains division filing systems, SharePoint sites, and staffing calendar
  • Coordinates building and facilities maintenance with management and contractors
  • Supports security protocols including visitor escort and classified material handling
  • Acts as a backup for time and attendance records entry and HR systems assistance
  • Briefs senior personnel on travel requirements and serves as the subject matter expert on travel policies
  • Performs other duties as assigned
