  • prior experience coordinating or booking travel in a professional or corporate setting
  • strong time management skills with the ability to juggle multiple priorities
  • high attention to detail and accuracy in documentation and scheduling
  • excellent written and verbal communication skills
  • demonstrated ability to handle escalations and de-escalate issues professionally
  • ability to work independently while collaborating within a team environment
  • proficiency with standard office tools and online travel platforms

Job Duties

  • Coordinate domestic travel arrangements based on program requirements and client-specific guidelines
  • review travel needs and present compliant options for approval prior to booking
  • finalize air, hotel, and ground transportation reservations using internal booking systems
  • communicate directly with speakers, providing clear confirmations and a single, concise itinerary summary
  • monitor travel plans and proactively address changes, delays, or exceptions
  • manage escalations when policy deviations are required and ensure timely resolution
  • support multiple clients and programs simultaneously while maintaining accuracy
  • maintain detailed documentation of travel activity and communications
  • partner with senior planners to learn processes and contribute to operational efficiency
