Job Qualifications
- proficiency in Microsoft Office suite, iManage and other firm applications
- advanced Excel skills
- minimum 2 years of administrative support experience in a professional services environment
- strong customer service skills
- ability to multitask effectively
- strong problem-solving and research abilities
- excellent verbal and written communication skills
- ability to exercise good judgment and discretion
- bachelor’s degree preferred
- accounting or travel program experience preferred
Job Duties
- organize and coordinate logistics for travel vendor on site or external meetings
- monitor and respond appropriately to travel department emails and forward requests for additional input
- create and maintain user profiles on various travel vendor portals
- coordinate with Travel Management Company and vendors to apply payments through credit card authorizations
- follow up to obtain receipts and maintain detailed spreadsheets for monthly reconciliation
- upload, audit, and complete electronic reconciliation of monthly invoices through expense management systems
- monitor unused ticket reporting and send reminders for ticket credit usage
- initiate refunds on refundable tickets via Travel Management Company
- maintain travel department vendor contact lists
- produce travel detail reports from travel portals as requested
- research and troubleshoot travel platform issues and itinerary questions
- maintain Travel department CooleyNet page with alerts and travel documents
- provide customer service support to users, consultants, vendors, and accounting personnel
- fulfill receipt requests for Accounting and Finance departments
- update and maintain filing of travel-related contracts and correspondence
- assist in creation and publishing of travel department internal newsletter
- provide administrative support to Senior Travel Services Manager and Director
- perform ad hoc travel booking for travelers
- perform all other duties as assigned
