The United Nations Secretariat, located in New York, is a pivotal entity within the global organization that supports international peace, security, human rights, and development efforts. Job Requirements

  • High school diploma or equivalent
  • minimum seven years of progressively responsible experience in international travel and transportation including administrative, supervisory functions
  • proficiency in Microsoft Office applications
  • proficiency in airline reservation systems
  • proficiency in operational databases such as ERP and booking management tools
  • English proficiency at UN Level III
  • flexibility to work weekends, holidays and late hours
  • ability to multitask and prioritize workload
  • authorized to work in New York duty station

Job Qualifications

  • High school diploma or equivalent
  • training in airline rules and regulations desirable
  • relevant training in shipping practices desirable
  • minimum seven years of progressively responsible work experience in international travel and transportation
  • experience in Microsoft Office applications including Word, Excel, Access and PowerPoint
  • experience in airline reservation systems such as SABRE, AMADEUS, APOLLO, GALILEO or equivalent
  • experience in operational databases such as Enterprise Resource Planning system and booking management tools
  • experience in an international organization desirable
  • English language proficiency at UN Level III

Job Duties

  • Supervises a team of travel assistants on daily assignments
  • provides guidance on travel and transportation established entitlements, rules and regulations
  • coordinates the travel of uniformed personnel traveling to and from a wide range of member states in connection with mission duties
  • reviews, calculates and approves entitlements for all official travel including airfare, excess baggage entitlements, terminal expenses, airfreight entitlements, daily subsistence allowance for staff and dependents and non-staff
  • provides information about frequency of air services and guidance on least costly and most direct airfare rates
  • provides information on rates and travel schedules for budgeting purposes
  • contacts airlines to negotiate least expensive fares including group discounts and reduced excess baggage charges
  • computes and determines lump-sum entitlements for travel and reviews authorized entitlements for personal effects removal
  • arranges for travel changes or cancellations and ticket reissues including reimbursements
  • liaises with contracted travel agency to correct bookings
  • pre-audits official travel itineraries for conformity with rules and regulations
  • reviews travel claims and supporting documents for accuracy and validity
  • advises on efficient and cost-effective routing
  • provides emergency travel support during non-office hours
  • performs ad-hoc assignments as necessary
