Job Requirements

  • High school diploma or GED
  • five years of increasingly responsible administrative experience
  • experience in event management and customer service preferred
  • valid State driver license required at time of appointment and must be maintained throughout employment
  • any combination of relevant education, experience, certification and licenses may qualify

  • operate modern office equipment safely and effectively
  • develop and administer efficient records management system
  • comply with posting and publication guidelines

  • interpret and apply Federal, State and local policies, laws and regulations

Job Duties

  • Prepare, type, word-process and proofread documents including general correspondence and reports
  • enter various data and maintain department records
  • perform accounts receivables and payables functions and reconcile bank statements
  • manage financial activity for citywide festivals and prepare financial reports
  • assist in designing marketing and informational material for festivals
  • coordinate and supervise volunteers
  • manage vendors and logistics for citywide festivals
  • prepare agendas for festival committee meetings, post notices and record minutes
  • answer telephone and provide assistance to public and visitors, providing information on policies and procedures
  • assist with coordination and servicing of group tours, conventions and sports tournaments
  • file documents, maintain filing system and financial documentation
  • operate office equipment including copiers and computers, input and retrieve data, file and back up files
  • receive, sort and distribute mail, order and distribute office supplies and maintain petty cash fund
  • respond to public inquiries courteously, provide information on department operations and services, distribute and receive forms and documents
  • resolve complaints efficiently and in a timely manner
  • perform other duties as assigned
